Paragon is seeking a full time (40 hours/week) in-person office assistant to work with the team in Arlington, VA. There will be flexibility for telework as needed. This position is for immediate hire and will report directly to the Vice President.
Responsibilities include:
- Scheduling and calendar coordination for the Institute’s President and Vice President, including security requirements at the Capitol
- Preparing document packages for presentations, meetings, and events
- Coordinating all conference and travel logistics for the Paragon team
- Submitting monthly expense reports, including receipt reconciliation
- Managing multiple databases
- Synchronizing operations systems such as Zoom, Microsoft Teams, and others
- Onboarding new employees, including arranging parking benefits and ID badges
- Assisting with all event coordination aspects for Paragon’s monthly Congressional Education Program
- Initiating office building and IT requests, including equipment needs
- Assisting with personnel recruitment and internship program
- Ordering office supplies
- Developing and maintaining a filing system for all contracts and verifications
- Answering phones and responding to general email inquiries
- Gathering and sorting mail
- Greeting visitors
Skills required:
- Attention to detail
- Ability to multitask and meet deadlines
- Well organized and professional demeanor
- Experience using Microsoft Office
Desired:
- 1-2 years of administrative experience
- Successful calendar management for multiple persons
- Experience working with government officials and/or another policy think tank
